Table bookings

When you make a reservation, whether by telephone or through our online booking system when it is available, we collect your name, contact details, the date and time of your booking, the number of guests, and any dietary or allergy information you provide. We use this information solely to manage your reservation and contact you about it. Our online booking is provided by Toast, Inc., who process this data on our behalf as a data processor. Toast's own privacy policy governs their handling of your data.

Our legal basis for processing booking data is the performance of a contract: you are asking us to reserve a table, and we need your details to do that.

Contact and enquiry forms

When you use the contact form or private hire enquiry form on this website, we collect your name, email address, and the content of your message. We use this to respond to your enquiry. We do not add you to any mailing list as a result of sending a contact form. Our forms are processed through Netlify, who store submissions on our behalf.

Our legal basis for processing contact form data is legitimate interest: you have made a specific enquiry and we need your details to reply.

Newsletter sign-up

If you sign up to hear from us via the form on this website, we collect your email address. We use this to send occasional updates about new menus, events, and news from The Reindeer. You can unsubscribe at any time by contacting us. Newsletter sign-ups are processed and stored through our website host, Netlify, Inc.

Our legal basis for processing newsletter data is consent: you have actively opted in, and you can withdraw that consent at any time.

Analytics and tracking

We use Google Analytics to understand how visitors use this website, for example, which pages are viewed and how people found us. This only happens if you accept cookies through the banner shown when you first visit. If you decline, no analytics cookies are set and no data is sent to Google. We do not use any advertising or cross-site tracking cookies. You can change your choice at any time by clearing your browser's cookies for this site.

How long we keep your data

Booking records are retained for up to two years after your reservation date, for the purpose of resolving any disputes or complaints. Contact form submissions are retained for six months. Newsletter subscribers remain on our list until they unsubscribe. We do not retain data for longer than is necessary for the purpose it was collected.

Who we share your data with

We do not sell your personal data. We share it only with the following third-party processors who help us operate the business:

• Netlify, Inc., our website host and form processor (contact, private hire and newsletter forms)
• Toast, Inc., our online table-booking platform (when you book online)

All processors are required to handle your data in accordance with applicable data protection law. Where processors are based outside the UK or EEA, we ensure appropriate safeguards are in place.
